Swim Ireland is the National Governing Body (NGB) for Swimming, Water Polo, Diving and associated Aquatic Disciplines on the island of Ireland. Swim Ireland’s Head Office is based at Irish Sport HQ, National Sports Campus, Blanchardstown, Dublin 15 with circa 60 employees. Swim Ireland’s remit as a Governing Body is to increase participation, run the competitive aspect of our sport and to provide a framework for regulation. Role and Reporting Structure

Swim Ireland is currently expanding its operations team and is seeking an experienced administrator to support operations. Reporting to the Operations Manager, the person appointed will play a crucial role in ensuring the smooth functioning of the organisation’s corporate operations.

 

The person(s) appointed will be responsible for the daily administration of the Operations Department and will be a point of contact for the corporate team across the organisation. This role involves a combination of administrative tasks and will require strong experience in administration, excellent organisational skills and the ability to manage multiple tasks efficiently.

Key Areas of Responsibility

 

  • Administrative support to include maintaining accurate records of operational activities, including meeting documents, reports and correspondence, ensuring a proper system is in place for filing and retrieving documents.
  • Maintaining and updating as required a monitoring system to assess compliance with Swim Ireland’s governance obligations in respect of safeguarding and the Governance Code for Sport.
  • Organise and manage calendars for meetings, appointments and events.
  • Identify areas for operational improvement and implement solutions to enhance efficiency.
  • Facilitate effective communication between departments, team members, regional and national committees.
  • Prepare and distribute internal and external communications.
  • Manage inquiries from key stakeholders.
  • Ensure adherence to company policies and regulatory requirements.
  • Assist in preparing compliance reports and documentation.
  • Provide administrative support to senior management, including preparing presentations and reports.
  • Support the planning and execution of projects.
  • Track project progress and ensure timely completion of tasks.

 

 

Education and Experience

  • Relevant qualification and experience in a senior administration role.
  • Ability to use scheduling and project management tools.
  • Familiarity with the Governance Code for Sport would be an advantage
  • Proficiency in Microsoft Office Suite.

Essential Requirements

  • Be eligible to work in Ireland on a full-time basis.

Working Hours and Flexibility

While this position is ideally full-time, Swim Ireland is open to considering part-time hours and/or job sharing for suitable candidates. The organisation recognises the importance of flexibility and aims to accommodate the right person for the role, ensuring that operational needs are met while supporting a positive and inclusive workplace.

Remuneration and Location

  • The package will include a salary commensurate with qualifications and experience to commence at circa €32,000 per annum based on 39 hours per week.
  • Position Tenure: 12 month fixed-term full-time contract or as described above.
  • Position Location: Swim Ireland, Irish Sport HQ, Blanchardstown. Dublin 15, D15DY62.
  • Swim Ireland operates a Hybrid Working Model. There may be some opportunities for remote working, subject to management approval and provided that the employee’s specific role is suitable for such an arrangement.
