We are currently recruiting for the role of Aquatics Sports Officer to join our dynamic team in the Competitions, Events and Sports Department. We are reinvigorating the department with this appointment, which will report into the National Sports Development Manager, and will work alongside the Water Polo Administrator on the development of the sport of water polo.
Role and Reporting Structure
The successful candidate will report into the National Sports Development Manager and will primarily be responsible for managing the day-to-day operation and communication of Water Polo. This will include working closely with the National Water Polo Committee and Competitions Committee to plan, prepare, and deliver all aspects of the National Leagues and National Cup Competitions. The role holder will also provide administration support other aquatic sports.
The role holder will have a strong administrative background, event management experience and an interest in the sports industry.
Key Areas of Responsibility
Water Polo
- Support the administration duties of the National Water Polo Committee
- Oversea and implement actions of the Water Polo Competitions Committee
- Track National Committee term dates and safeguarding requirements
- Be the first point of contact and manage general club enquiries
- Monitor and report on the payment of club membership fees, national league and cup entries, and any associated club fines
- Website and social media management
- Produce and distribute regular newsletters
- Source estimates, order and distribution of National Programme team kit
- Organise the Annual Water Polo Conference
- Organise the annual Competitions Workshop, Coaches Conference, and Officials Conference
- Manage club and European player transfers
- Liaise on the production of national league and cup fixtures annually
- Organise facility bookings and amendments including invoicing and payments
- Recruiting and assigning of Table Officials for national league and cup competitions
- Organise hotel bookings and food for officials at national cup competitions
- Plan, prepare and deliver all aspects of the national cup competitions, including the organising of photography, all medals & trophies, officials kit, PA system
- Attend national cup competitions
- Organise event plans and subsequent health and safety risk assessments
- Cross checking player, coach, and team managers credentials to ensure requirements are met for all national league and cup competitions
- Production or tournament packs for cup competitions
- Process and distribution of club accreditation for national cup competitions
- Organise team leaders’ meetings prior to all national cup competitions
- Organise and oversee the live streaming of Irish Senior Cup and other senior games
- Update the Competitions Management System and manage all aspects of digital match sheets and results
- Checking and approving volunteer expense claims made through JotForm
- Review and report on disciplinary actions from national league and cup competitions and subsequent follow up with clubs
- Coordinate with the Education Department to implement the Water Polo education plan, including communication with clubs and facilities
- Support the roll out of the officials’ development pathway
- Support the role out of Mini Polo and other development initiatives aimed to grow the sport of Water Polo
- Sourcing and submitting grant applications (Sports Capital Grant)
Other Aquatic Sports (Masters and Diving)
- Support the National Sports Development Manager in administering the other aquatic sports as required
- Support and help implement improved communication channels across all aquatic sports
- Support administration of events and yearly projects across all aquatic sports as required
Additional
- Seek to improve the member experience through prompt response to all phone and email queries
- Escalate issues to National Sports Development Manager in a timely manner
- Attend Swim Ireland conferences, competitions and events as required
- Support other departments in Swim Ireland in the delivery of their work
- Support the roll out of Swim Ireland initiatives
- Other duties as required
Education and Experience
- Relevant experience in a similar role
- Project delivery experience
- Relevant Qualification (e.g., administration/project management/development)
- Industry knowledge

Essential Requirements
- Be eligible to work in Ireland on a full-time basis
- Excellent working knowledge of IT and software packages including database management, MSOffice, Word, Excel and PowerPoint
- Strong knowledge of sports administration
- Knowledge and experience of delivering and evaluating successful programmes and events
- Project management experience

Remuneration and Location
- The package will include a salary commensurate with qualifications and experience to commence at €30,000 per annum
