Job Vacancy – Operations Administrator (Part-Time)

Swim Ireland is the National Governing Body (NGB) for Swimming, Water Polo, Diving and associated Aquatic Disciplines on the island of Ireland.  Swim Ireland’s Head Office is based at Irish Sport HQ, National Sports Campus, Blanchardstown, Dublin 15 with circa 60 employees.  Swim Ireland’s remit as a Governing Body is to increase participation, run the competitive aspect of our sport and to provide a framework for regulation. Role and Reporting Structure

In an exciting development, Swim Ireland is currently expanding pool operations to take on additional pools across the country. We are now seeking a skilled administrator to join the team to provide centralised support.  Reporting to the Operations Manager, the person appointed will be the primary administrator of our booking systems and will require excellent organisational skills and the ability to handle multiple tasks efficiently.

Key Areas of Responsibility

 

  • Pool Operations Administration Support
  • Responsible for the administration of pools booking system (training will be provided), providing support to on-site staff where needed
  • The generation of regular reports from the system
  • Dealing with customers and resolving any booking queries / time changes / refunds in timely fashion.
  • Liaising with the Swim Ireland Finance Team and on-site pool managers in the issuing and tracking of invoices for schools and user groups.
  • Liaising with onsite managers to ensure the smooth operation of the pool (for example monitoring and ordering supplies, issuing invoices, processing invoices)
  • Co-ordinating logistics with suppliers as required
  • Processing of all invoices for suppliers
  • Dealing with queries from pool customers and suppliers either by phone or email

 

 

 

Education and Experience

  • Relevant qualification and experience in an administrative role
  • Proficiency in Microsoft Office Suite.

Essential Requirements

  • Be eligible to work in Ireland on a full-time basis.
  • Excellent working knowledge of IT and software packages including MSOffice, Word, Excel and PowerPoint.
  • Full driving licence and access to a car.

Remuneration and Location

  • The package will include a salary commensurate with qualifications and experience to commence at circa €22,000 per annum based on 25 hours per week.
  • Position Tenure: 3 year fixed-term full-time contract.
  • Position Location: Swim Ireland Head Office, Irish Sport HQ, Sport Ireland Campus, Blanchardstown, Dublin 15. A level of hybrid working is permitted dependant on the requirements of the business. Some travel to pool locations may be involved from time to time.
