Yearplanner for Technical Committee

A handy template to organise the TC activities and agenda

You may find yourself in the technical committee! What and how to organise? I hope with this post and template to give you some pointers! Let start with how to structure the player development? I am educated by our National Olympic Committee in this model:

  • The Player is central to everything (it is his talent anyway…)
  • The club’s Long Term Development Plan (LTPD) is leading / guiding
  • The Coaches and Trainers execute the plan
  • The Technical Committee facilitates it all

The role of the Technical Committee

In this model the TC is responsible for that overall plan and organises and facilitates the coaching staff to execute it. The TC is also responsible for organising the development of the coaches involved. Some clubs add the Team Managers / Admin side to their responsibility, you decide for your club.

So the Technical Committee should meet and organise all this, with this year planner you can create an overview of what topics are to discuss in which specific month of the year. In this template I have these activities listed:

  • Dates for the TC Meeting and Club Committee meeting;
  • A yearly coaches evaluation;
  • Discuss the set-up for next season;
  • Evaluate and procurement of equipment;
  • Dates of relevant union activities;
  • Events;
  • Communication;
  • Policy making with related documents like that club LTPD;

And whatever you want to add! You can now use this to plan the TC meeting, keep track of activities and set up the agenda.

The Coaches

The coaches do not need to worry about this year planner, it is something for the Technical Committee. They do have to realise they are part of bigger thing then just next weeks game of their team! They need to learn and understand the TC can help them in running their team.

The LTPD

Most bigger unions have their version, I collected all of them when I was involved with the talent development program of the Dutch Rugby Union and used them to set up the structures and datamodel in SuperCoach Online. Use your union version to make it specific to your club. My favourites are:

  • The FFR with their tactical development angle, the capacity of the young children to learn and play;
  • The IRFU LTPD with the clear goals for each age group AND the coaching style to come with that!

Summary

With this structure it is immediately clear that we have an overarching plan to develop our talent. All coaches need to be on board with this. With a Double Goal mindset with the long term development in AND still maximise the performance and talk about winning and losing. The Technical Committee is responsible for creating this clarity and keep everyone involved and on board. Example questions to expect are: “We missed a lot of tackles last match, why not get the tackle bags out?” or “Why spent time on general movement / athletic development?”. The answer always is: “Yes, that is indeed very important and part of the development plan we are executing, but we decided to these priorities” or “Yes, important too, let us look at the team Year Planner where this fits and if we need to re-shuffle”. It is always an opportunity to show their concerns are valid and somewhere in the LTPD are addressed.
