Peterborough Area Canoe and Kayak Club Annual General Meeting

Approval of the minutes of the 2018 AGM.

The minutes from the 2018 AGM were reviewed. No questions or comments were raised, and the minutes were approved.

Chairman’s Report on the previous year’s activities:

Jason began his report by thanking the committee for their hard work during the year, and in particular for the safe, legal and efficient running of the club. Alan Smith was thanked for providing food and drink for the AGM. Keith Chambers and Richard Hill were thanked for their work both at the pool and at the lake during the summer. Jason also thanked a number of other people without whom the club would struggle.

Jason then reviewed the year. It had been another busy year with many of the traditional coaching and peer paddling trips taking place, including trips to South Wales and the Tees. It had been a busy year with challenges regarding GDPR. There are currently 140 members, with approximately 23K in the bank (see section on finances)

Jason reviewed some of the comments for last year. Someone had mentioned getting a bigger range of boats, it was pointed out the club already had a large number of boats available from different disciplines such as wild water racers. Also there was a suggestion we go on more whitewater trips, again it was pointed out that we had a number of trips planned including Northampton white water, Cardington and a trip to the Allier in the summer. There are also Monster Racing and other triathlons to help out with. It was pointed out that we need more people to volunteers for arranging trips so that the same people don’t end up doing all of it.

Some people had suggested that they would like to go on a white water safety course, and Jason will look into this.

Richard Hill wanted to step down as Membership Secretary, but Jenny has volunteered to take his place. Also Alan would like to step down as Quatermaster.

Presentation and Approval of 2017 – 2018 Accounts

Club Treasurer Gavin Philpott presented the accounts for last year. It was noted that the current auditor had recently been taken very ill, so the accounts have not been properly ratified.

The net assets for the club have decreased slightly to £30,321.18 as opposed to £30,651.24 from last year.

Packers Cash Summary 2017 - 2018

Gavin reported that the membership was the highest for 5 years. We had a very busy year with over £1900 taken as launch fees at Ferry Meadows. Last year we made a loss on the pool, this year we are currently well in credit. Under other income we had made £483.60, mostly due to helping out with Triathlons at Monster Racing and Keen as Mustard events. Ground rent had gone up £400 this year. In total the accumulated fund had shown a slight loss of £134.92 but Gavin considered we had had a good year. It was agreed that we should accept the accounts subject to ratification by the auditors. This was proposed by Gavin and seconded by Jeff.

The Club Accounts were duly approved as a fair and reasonable account.

Election of Club Officers. The committee then stood down.

The existing officers stood for re-election.

Chairman: Jason Pink

He was unopposed and duly elected.

Secretary : Tim Heap.

Proposer : Julie Horne. Seconded : A Smith.

Treasurer:

Gavin Philpott stood for election as Treasurer. He was unopposed and duly elected

Proposer : W Bull, Seconded : P Bull.

Two other non-elected members of the committee namely Keith Chambers and Alan Smith (QuarterMaster), agreed to continue serving on the committee. None were opposed.

Jenny will take on the role of Membership Secretary

The Chairman confirmed the membership subscription for the coming year would be:

Full Member £30 and £20 for additional family members with a £3.00 discount if individual are members of British Canoeing. Student membership £10.00. Proposed by A Smith Seconded by R Hustwayte

8.

Any Other Business

Jason indicated that this would be his last year as chairman.

The Meeting was then closed with attendees enjoying cheese and biscuits.
