Minutes of Packers Committee Meeting

Thursday@ 8.00pm August 30th 2018

RAFA Club Yaxley

Attendees: Jason Pink, Richard Hill, Alan Smith, Conor MacGinley, Gavin Philpott, Tim Heap, Keith Chambers

 

1.

Minutes: The minutes from the previous meeting were reviewed by Jason and the action point reviewed from Jason’s notes.

  • Jason had purchased some women-specific BA’s, and some BA’s for very small children.
  • He and Alan hadn’t got round to looking at the store of paddle yet.
  • Tim had published the previous minutes on club buzz.

Membership:

  • 116 people were now members, and there were 34 come and try its. Membership is going up, the challenge now is to keep people interested. A number of new people were keen to develop their whitewater skills. It was noted that we hadn’t done a comparison of the FB (facebook) members page with actual members, and that there were some who had access to FB members only page who shouldn’t.

Accounts:

  • Gavin gave a summary of the accounts. They have now been audited. The balance is just over £7000 in the current account, a better position than at the start of the summer. Jason is to check what we need to pay for the swimming pool for next season with HDC (Huntingdonshire District Council). Cardington was discussed, it had gone well but not had many people turning up, in fact the money we took covered the cost of the portaloo but not the cost for paddling, which we still haven’t been invoiced for. The suggestion was to run it earlier in the year next time to avoid school holidays etc.

Pool Sessions:

  • These start again on the 14th Sept, and run through to April 26th. Alan Smith is to do the pool rota, with the exception of Coda Heap who starts uni at Sheffield and is therefore unavailable. 12th September will be the last day on the lake. A new barrel is required to store kit, Gavin to sort out.

Summer Sessions :

  • These had been very well attended. The current blue/green algae means that next week twill be the last one, and will meet at Milton Ferry again. It will probably be the last outing on the lake/river for this year. Takings were £1571 up to the end of July, with August money still to be added on. We have also spent a fair bit on new kit, kayaks etc. Gavin suggested that we should give new members a sheet with useful information on, such as clocking on and off the water. Les Ranford has also updated the emergency procedures sheet, using the RYA emergency procedures as a guide.

Future Events:

 

  • There will be a night paddle on Wednesday October 10th, meet at 6:15 for paddling starting at 7pm.
  • Rich is to look into running another Aqualon event on 9th September. It was considered that 15 people was enough to safely manage the event.
  • Keen as Mustard event will run on 9th June 2019.
  • Monster Triathlon will confirm but should be the same dates next year.
  • There will be a Canoe Camp again, more info to follow shortly.
  • Gavin is to look into running a trip on 17th/18th November, probably to either the River Dart or South Wales.
  • Jason mentioned running a course for coach level2, the pre-requisites for this are that a ‘core training’ course is run previously, Jason to investigate.
  • 12/13 Jan – Peer paddling trip, probably to the River Tees (TH is not going in the snow !)
  • 9/10th March - . Club coaching trip. Destination to be confirmed, probably River Tees again.
  • 9th Feb – Annual Dinner (Keith to organize)
  • 26 March – AGM.
  • It was also planned to include some more trips to Northampton, and possibly also send out some feelers to see if people are interested in going to Lee Valley Legacy Course.

  • GDPR: we are now compliant, but Conor is to look into securing the laptop with the Access database on it.

  • Website. Tim explained his concerns around the website, and the complicated relationship between the website, the members database, the packers FB page, and club buzz/event brite After much discussion the following was decided on :
  • We will keep the existing system for the time being, with the following provisos :
  • Conor will look further into club buzz and see if we can simplify it.
  • We will all look into Gold membership and see what, if anything this offers us.
  • We will all look into setting up events in club buzz such as for trips, and how this could simplify trip management in the future.
  • It was also mentioned again that important contact details, next of kin and medical information should be kept on trips, possibly with another non-paddling person for extreme emergencies.

8.

  • A.O.B. none forthcoming, so meeting was closed.

NEXT MEETINGS: RAFA Yaxley November 7th , Jan 16th, March 13th (all 8pm).
