Victoria Bowmen Meeting Minutes Mar 30, 2023

1. CALL TO ORDER
The meeting was called to order by the President at 6:40pm
2. CHAIRMAN’S OPENING REMARKS
The president welcomed everyone to the meeting.
3. CORRESPONDENCE
There is no new official correspondence to report.
4. APPROVAL OF THE MINUTES OF THE PREVIOUS MEETING

5. REPORTS
- Membership is now up to 101
- Treasurer: Club finances in good shape, some funds currently owed from Saanich Commonwealth
6. BUSINESS ARISING FROM THE MINUTES
- Summer indoor shooting times will remain same as current unless club shoot participation drops
7. NEW BUSINESS
- Club has declined invitation to participate in PISE event May 6
- Emergency Action Plan: there is a copy of the emergency action plan (steps, protocols and actions to take as a result of a serious injury or other medical situation above basic first aid) along with a first aid kit inside the container. There is also a defibrillator to the left hand side of the main entrance doors to Saanich Commonwealth (beside the Arbutus Room). After 9pm club is responsible for calling 9-1-1 in an emergency as lifeguards are off duty and only maintenance staff is onsite
- At a recent club shoot, member’s X-10 arrow was ruined hitting an arrow tip stuck inside a butt. As condition of the butts is the club’s responsibility, motion made to reimburse the member for the arrow.

- Canadian Outdoor Championships August 2023
- Club has secured a small grant from the govt to help out
- Event schedule now available from Archery Canada
- Several sponsorships being pursued, a few have been secured, ask members to direct possible sponsors to page on club website
- Production of the official program – Andrew Engelhardt to oversee
- Greg Birtwistle & Dave Ball working on clothing
- Targets purchased & have been delivered
- Pins paid for, medals to be ordered
- Positions/volunteers still needed for:
- chairperson for advertising and promotion of the event
- chairperson for Opening and Medal Ceremonies
- need 6 – 10 volunteers as a field crew to assist at the actual event
- need volunteers to sell event merchandise and concession during the event
- Traffic control
- work on equipment at work parties that will be announced later in the spring/summer
