Victoria Bowmen Meeting Minutes Nov 24, 2022

1. CALL TO ORDER

The meeting was called to order by the President at 7:15pm

2. CHAIRMAN’S OPENING REMARKS

The president welcomed everyone to the meeting, introduced John Jesseau who is a new archer and interested in the club.

3. CORRESPONDENCE

There is no official correspondence to report.

4. APPROVAL OF THE MINUTES OF THE PREVIOUS MEETING

5. REPORTS

President:

  • Tried to get Archery Canada to change colour of membership cards so they can be more easily identified/distinguished from previous year, but cards will be same as last year with 2023 on the cards for next year. The president asked everyone to encourage members to wear their cards, so they can be seen. He has the club laminator should anyone want their card laminated. Members are encouraged to assist in making sure everyone shooting is a member.

Membership Director:

  • Membership renewals for next year underway, 24 registered already for 2023. Membership for 2022 was 89.

Treasurer:

  • All reports and balance sheets up to date, club accounts are in good shape. Some funds due from Saanich.

JOP Director:

  • JOP going well, very busy with lots of young archers showing up each week. 22-23 kids regularly participating every Sunday with more joining from Thursday youth classes. Also currently running a JOP Mailmatch.

Tournament Director:

  • Looking for options to run indoor tournaments for this season ahead of Canadian Nationals to help archers get used to timers, protocols etc. Will need help contacting/organizing judges to help out. Can also run non-judged tournaments if judges are not available.

Brad Barclay, Director at Large:

  • BC Winter Games coming up in March 2023. Trials will take place at Saanich Commonwealth Dec 11th at 1pm, will shoot a Canada 300 round until completion. Announcements posted on BC Archery website and sent to all island archery clubs.
  • 2023 Indoor Mailmatch will begin Jan 5, 2023 with medal ceremony for Victoria Bowmen 2022 Mailmatch medalists preceding it.
  • Adult classes at Commonwealth are full and going well. Need to address issue with Saanich Commonwealth placing first-time, new archers in the Continuing class as this creates more work for coaches and a poorer experience for the continuing-level archers.
    • Action – Brad to contact SCP to work out a way to ensure that new archers do not find their way to these lessons.
    • Action – Brad to turn archers away that cannot shoot with basic form.

Jarod Ball:

  • Monday drop ins at Saanich very slow so far this season. Lots of targets very beat up, request that they be sorted and old ones discarded after Sunday club shoots.
    • The President asked everyone to help with discarding targets that have no shooting value.

Frank Perry:

  • Thursday night indoor club shoot participation is growing, numbers up.

6. BUSINESS ARISING FROM THE MINUTES

  • 2022 55+ Games: club made a small profit hosting this event, was a very successful tournament overall, ran very smoothly
  • Colwood property/outdoor range possibility update: nothing further to report.
    • President update (Nov 29) – has talked to the planning department in Colwood, they are looking up the actual boundaries and ownership of the property. They are reticent to have any such property that only one sport was using, we need to find a partner sport. They also said that we should keep trying for the proposed site at Westshore recreation – Al will follow up.                                                                              

7. NEW BUSINESS

  • 2023 Renewals: need to ensure shooting members have renewed their membership by Jan 1, 2023 as the insurance included in membership is a requirement of Archery Canada, BC Archery, and Saanich Commonwealth. Uninsured archers are not allowed to shoot.
  • Sign in sheets: started for contact tracing during COVID but we will continue to use them to track numbers of members and guests.
  • Tournaments: looking to organize some (see Tournament Director’s report above). Possibly run some Mailmatch tournaments with the clocks to help archers get used to shooting with them
  • Clinics: tuning clinic running Nov 27, 16 people registered. Clearly a thirst for knowledge. Club may look at running some more clinics for advanced archers.
  • Range Safety Officer/Criminal Record Checks: members who are Range Safety Officers need to sign a consent form from BC Archery. Also encourage our archery coaches to take the Safe Sport training via the BC Archery website. Coaches, volunteers etc. who are working with JOP kids need to complete a criminal record check, available at no cost through the BC Archery website.
  • Canadian Championships Aug 2023: lots of balls in the air but nothing to action yet. Field course has been planned, layout of target field has been provided, fields booked at West Shore Rec Centre for Aug 8-12, schedule done, costs, logistics and some supplies (tents etc.) still TBD.
